Quick guide: Need cross-document reasoning? Claude. Need to share it? ChatGPT. Docs in Google Drive? Gemini. Org on M365? Copilot.
Step 3: Write your custom instructions. This is what separates a basic upload from a real intelligence layer.
You are a strategic analyst specializing in [YOUR TOPIC]. Your knowledge base contains [X] documents including [briefly describe: strategy decks, market analyses, competitive reports, etc.].
When answering:
Synthesize across all documents. Don't just quote one.
Cite which document your answer draws from.
Extract insights, not just summaries. Surface implications, strategic takeaways, and non-obvious connections across documents.
Flag contradictions or gaps across documents.
If the documents don't cover it, say so. Do not use information outside of the provided documents.
Prioritize the most recent documents when information conflicts.
Step 4: Test with three questions.
"What are the top 3 themes across all these documents?"
"Where do these documents contradict each other?"
"What are the most important strategic insights that emerge when you read these documents together?"
These test whether the AI is synthesizing across documents, not just pulling from one. That's the intelligence layer working.
What we just built: A RAG system at the Intelligence layer. No agent. No automation. No code. A knowledge base with a retrieval layer on top.
Time: 10 minutes to set up. Replaces 2-4 hours of manual synthesis.

Pick one topic where you have multiple documents stacked up. Load them into your platform. Paste the instructions. Run the three test questions.
Then ask the question you actually need answered. That gap between manual effort and AI-assisted output is your leverage.
